Section 2
What Personal Data We Collect
Depending on how you engage with us, we may collect the following categories of personal data:
- Contact information — name, phone number, email address, and mailing address.
- Enquiry content — the nature of your legal matter as described in consultation requests or correspondence.
- Identity documents — where required by law or for the proper conduct of legal proceedings, copies of identity cards, passports, or official documents.
- Financial information — billing details, payment records, and invoices related to our services.
- Usage data — pages visited, time spent on site, referring URLs, and browser or device type, collected via cookies and similar technologies.
- Communications — records of emails, letters, or messages exchanged between you and Claimond.
We do not collect sensitive personal data (such as health information or biometric data) unless it is directly relevant to your legal matter and you have provided it voluntarily.
Section 3
How We Use Your Personal Data
Claimond processes personal data only for lawful and specific purposes. These include:
- Responding to enquiries and scheduling consultations.
- Providing legal advice, representation, or related services you have engaged us for.
- Complying with applicable laws, regulatory requirements, and court orders.
- Administering billing and payment for services rendered.
- Maintaining accurate records for the duration required by Malaysian law.
- Improving the content and functionality of this website.
- Sending you relevant updates, where you have indicated your consent to receive them.
We will not use your data for automated decision-making or profiling in ways that have significant legal or comparable effects on you.
Section 4
Legal Basis for Processing
Our processing of your personal data rests on one or more of the following grounds, as permitted under the PDPA 2010:
- Contractual necessity — to perform the legal services you have engaged us for.
- Legal obligation — to comply with Malaysian law, court directions, or regulatory requirements.
- Legitimate interests — to manage our practice, communicate with you, and keep our records in order.
- Consent — where you have expressly agreed to receive communications or for other specific uses.
Section 5
Sharing Your Personal Data
Claimond does not sell your personal data. We share it only in the following circumstances:
- With courts and regulatory authorities — where required to conduct legal proceedings or meet reporting obligations.
- With engaged third parties — such as barristers, expert witnesses, translators, or official agencies, strictly to the extent needed for your matter.
- With service providers — such as our IT systems supplier or payment processor, under confidentiality agreements that restrict further use.
- With your consent — if you have asked us to share your information with a specific party.
Any third party we engage is required to handle your information with the same standard of care we apply ourselves.
Section 6
How Long We Keep Your Data
We retain personal data only for as long as reasonably necessary for the purposes described above, or as required by applicable law and professional standards. As a general guide:
- Client matter files are retained for a minimum of seven years after the close of the engagement, in accordance with standard legal practice.
- Billing and financial records are kept for the period required under Malaysian tax and company law.
- Enquiries that do not lead to an engagement are held for a reasonable period to allow follow-up, then removed.
- Website usage data collected via analytics is retained in aggregate, anonymised form.
When personal data is no longer needed, it is securely deleted or anonymised.
Section 7
Your Rights Under the PDPA
Under the Personal Data Protection Act 2010, you have certain rights in relation to your personal data held by Claimond:
- Right of access — you may request a copy of the personal data we hold about you.
- Right of correction — if your data is inaccurate or incomplete, you may ask us to correct it.
- Right to withdraw consent — where processing is based on consent, you may withdraw it at any time. This does not affect the lawfulness of processing already carried out.
- Right to limit processing — in certain circumstances, you may ask us to restrict how we use your data.
To exercise any of these rights, please write to us at [email protected]. We will respond within 21 days, and may ask you to verify your identity before fulfilling your request.
Section 8
Security Measures
We take reasonable technical and organisational precautions to safeguard your personal data against unauthorised access, alteration, or disclosure. These include access controls on our systems, secure email protocols, and staff awareness of data handling obligations. While no transmission over the internet can be entirely without risk, we review and update our security practices on a regular basis.
Section 9

Section 11
Children's Privacy
Our services are intended for adults. We do not knowingly collect personal data from individuals under the age of 18. If a child's information is provided in connection with a legal matter (for example, a custody case), it is handled with particular care and only to the extent necessary for the matter at hand.
Section 12

We may revise this Privacy Policy from time to time to reflect changes in our practices or in applicable law. When we do, we will update the "Last updated" date at the top of this page.
